Webinar Q&A

Are we able to find the PIN in the App? Or only on the website?

Yes, the event host or campus administrators will be able to see the pin from the mobile app and then can provide that to others. When they click into the event, the pin will be on the event check in page.

Could you have the same pin for multiple events?

No, each event will have a unique pin!

Is it possible to extend the hour after the event for check in?

It is not possible to extend the hour after- but you can bulk add by ID number on the web portal anytime after the event!

How do I determine what my type of user I am listed as?

Your campus administrator can look this up for you! The majority of campus users are 'Organization Administrators' for the organizations or departments they manage.

Is the PIN enabled when a student is at the location to prevent a student from checking in at an event they really didn't attend?

The PIN is intended for your staff or other students to use to check other people in- it's not a self check in PIN. If you have 5 folks who are doing check in at the event, they'll each enter the pin and then use their mobile device to scan attendees in to the event

Is there a way to add a list of people who are required to attend an event so as we check them in it essentially marks them there and then when we export the attendees spreadsheet, it quickly shows who did not attend?

At this time there is not, the check in feature is just collecting a list of who is attending but isn't comparing that to a pre-determined list.

If you have a poll attached to the event, when you check someone in, does the poll questions appear on their phone or the phone of the person checking people in?

On the phone of the person checking people in!

Can we use the manual entry to check in a student if they don't have the app on their phone and we can't scan their QR code?

Yes, you'll just need to enter their email address or ID number

i have an organization that would prefer to use a scanner then their phones as they are checking in over 100 people in a couple of minutes and do not have enough people nor time to write down id numbers

If the ID card has a barcode, you can actually use the 'barcode' feature in the app rather than having a separate scanner.

They don't need to write down numbers. The phone operates as a scanner. They select barcode and it opens the camera within the app that functions the same way that a scanner would. If they want to use a scanner that connects directly to Involve, they can do that will a laptop and a scanner by use the 'Single Add' option on the event page under Attendees. If the scanner is paired to the computer, then it will populate the ID number into that box and they can check in that way.

Is there a way to make a QR code for students to scan to check in? That way they get the polls on their phone.

There is not- we don't have a self check in feature. Some of our campuses create a form that asks for name and ID number and create their own QR code that students scan to complete the form. After the event, you would need to open those form responses and copy and paste the ID number to the "Bulk Add Attendees" option. This option would mean that you lose the option to have the poll.

How do you generate the unique code?

The Event PIN is automatically generated once an event registration is approved. You do not have to take any action to create the pin.

Can multiple admin check in members/guests at once?

Yes! Multiple devices can be checking attendees in at the same time!

Do the polls have to be at check-in? Is there a way to make it that it will pop up after the event?

The polls always occur when you do the "check in" process. Some of our campuses do the process as a "check out" and scan folks when they're leaving to either have a post-event poll or to make sure that attendees stayed the entire time.

Is there any Zoom integration for hybrid events for check-in, or do we have to manually add those attendees?

There is a Zoom integration that will take attendance for anyone who joins the zoom meeting. You can contact support to get this set up. Your Zoom administrator on campus will need to allow Involve to specific permissions, but support can help you with this!

Do people who are checking attendees in need to have admin rights? Or just the PIN?

Just the PIN. Those who have admin rights for the campus or organization hosting the event do not have to have the PIN, it will just be in their app. For everyone else, they just need the PIN.

Is there a way to add the student ID # to the export List as CSV report? It only provides the name and email for me.

Unfortunately, no. It only pulls in email address and name. If you are a campus administrator, you can request and express report for Event Attendees from support that will contain the ID number

How does the point system work with check in? We wanted to start a point system when students check in to events

You will have to set up the points feature and if you have attached the points to the event during the event registration process or you can create a pathway that adds points to events with a tag, etc. Once the student checks in, the points are granted!

If you do not currently have points turned on, reach out to your account manager and they can connect you with our professional services team to work with you to implement this feature!

It requires some set up and planning but that's what our team does. You'll get connected with professional services and we'll meet with you to plan your points program!
