Admin Dashboard At-A-Glace

These stats provide a high-level snapshot of student activity and engagement on campus. They're useful for understanding the impact of your program without having to dig into detailed reports or spreadsheets.

Who is included in these stats?
Not every statistic is student-only.

  • Metrics with "Student" in the title only include active students.

  • Metrics without "Student" in the title may also include faculty/staff, guests, or inactive people, depending on the specific calculation

Are these stats based on current students or all-time?

  • It depends on the metric.
  • Metrics that specifically reference students generally use active students currently in your institution's data file.
  • Other metrics (such as Monthly Unique Attendees, Experiences Earned, Skills Earned, Points, and Form Responses) may include historical records and are not always limited to currently active students.

 

Note: Each At-A-Glance statistic is calculated independently. While many statistics respect your administrative scope, others (such as Active Students, Form Responses, and certain Co-Curricular Opportunities metrics) use different visibility rules based on the underlying data source. Individual sections below describe the behavior for each statistic.

 

Visibility

These statistics are permission-based, but not every statistic follows the same visibility rules.

  • Campus Administrators see campus-wide statistics.
  • Campus View users see the same statistics as Campus Administrators.
  • Category Administrators see organization and event statistics limited to their assigned categories.
  • Organization Administrators see organization and event statistics limited to their assigned organizations.

Note: Some statistics (such as Active Students, Experiences Earned, Skills Earned, Points, and Form Responses) have different visibility rules than organization- and event-based statistics. See each metric below for details

Which permissions are required?

Any user with access to the Admin Dashboard can view the At-A-Glance statistics.

The Active Students (Last 30 Days) statistic is the exception. It additionally requires the View Person Profile permission for Category and Organization Administrators.

The Numbers

1. Organizations

Number of active organizations within your administrative access.

  • Campus-level administrators see all active organizations on the campus.
  • Category Administrators see organizations within their assigned categories.
  • Organization Administrators see only organizations they administer.

Inactive organizations are not included.

 

2. Organization Members

  • Number of active people with active memberships in organizations within your administrative access.
  • This count represents unique people. Someone who belongs to multiple organizations is only counted once.
  • Organization members may include both students and faculty/staff.

 

3. Upcoming Events

  • Counts upcoming active events hosted by organizations within your administrative access.
  • Past events and inactive event occurrences are excluded.
  • Each event is counted once, even if it has multiple upcoming occurrences.

 

4. Monthly Unique Attendees

  • The number of unique attendees who attended events within the last rolling 30 days.
  • Each attendee is counted only once, even if they attended multiple events during that period.
  • This statistic is based on events within your administrative access.

This metric is not limited to students and may include faculty/staff, guests, and inactive people with attendance records.

 

5. Students Attended Events

This stat shows the percentage of the total student population that has checked into at least one event hosted by organizations within your admin access.

  • If you’re a Campus Admin with access to all students, you’ll see the overall campus engagement rate (e.g., 50% means half of all students have attended at least one event).
  • If you’re an Organization Admin (e.g., French Club), you’ll see the percentage of total students who attended your organization’s events (e.g., 1% if only 1% of the campus attended a French Club event).
  • This calculation includes all attendance history for currently active students. It is not limited to a specific date range.
  • The denominator is always the total number of active students on the campus—even for Category and Organization Administrators.

This stat reflects your org's reach across the entire student body, not just your org members.

 

6. Experiences Earned

Total number of earned experiences.

  • Deleted experiences are not included.
  • Earned experiences for inactive people are included.
  • This metric requires access to the Experiences feature.

 

7. Skills Earned

Total number of earned skills.

  • Deleted skills are not included.
  • Earned skills for inactive people are included.
  • This metric requires access to the Skills feature.

 

8. Points

Displays the Point Type with the highest total points awarded, along with the total number of points earned for that Point Type.

This is not the total of all points across every Point Type.

  • Deleted point types are not included.
  • Points earned by inactive people are included.
  • This metric requires access to the Points feature.

 

9. Active Students (Last 30 Days)

Students are considered active if they generated a timeline activity during the last rolling 30 days, such as:

  • Checking into an event
  • Submitting a form
  • Earning a skill
  • Earning an experience
  • Earning points
  • Earning service hours

Simply logging into the Student Portal does not count toward this metric.

 

10. Form Responses

Total number of submitted form responses.

  • Includes all-time submitted responses.
  • Draft responses are not included.
  • Responses may include students, faculty/staff, or guests (depending on the form).
  • This metric is not scoped by an administrator's form access or organizational access; it returns the campus-wide total.
